Things at Events That Nobody Notices… But I Do

When you attend an event, you usually notice the stage, the décor, the flowers, the food and the music.

But when you work behind the scenes, your eyes start noticing completely different things.

At Baba Saab Events, we spend a lot of time making sure an event looks beautiful. But over the years, we’ve realised that a truly good event is not just about how it looks. It is also about how people feel while they are there.

And honestly, there are a few things I automatically check at almost every event.

Is there enough water?

It sounds like a very small thing, but it matters.

At an event, people are constantly moving around, talking, travelling, dancing or sitting through long sessions. In all the excitement, drinking water is something people often forget.

So one of the first things I notice is whether water is easily available and accessible.

Because sometimes, good hospitality starts with something as simple as a glass of water.

Are people getting a chance to sit?

This is something guests may not consciously notice, but their feet definitely do!

At weddings, conferences and social events, people can spend hours standing during registrations, ceremonies, networking or performances.

We always try to think about where people will sit, how they will move around and whether elderly guests or people who may need additional comfort have an easy option.

A beautiful setup is great.

A comfortable setup is better.

Is the venue too hot or too cold?

Temperature can completely change the mood of an event.

If the room is too cold, people start looking for jackets.

If it’s too warm, people become tired and uncomfortable.

Nobody may come up to you and say, “The temperature is affecting my experience,” but you can usually see it.

That’s why venue comfort is something we pay attention to before the guests even arrive.

What about the food?

Food is obviously a major part of Indian celebrations.

But as event planners, we don’t only look at the menu.

We look at the overall experience.

Is the buffet organised properly?

Are people waiting too long?

Is the serving area comfortable?

Is the food being handled appropriately?

Are there suitable options for guests with different dietary preferences?

Because good food isn’t only about taste. It’s also about the way it is served and experienced.

Can everyone hear what’s happening on stage?

This becomes especially important at corporate events.

A beautiful stage means very little if the person sitting at the back cannot hear the speaker clearly.

Sound checks, microphone levels and speaker placement may not be visible to guests, but they can make a huge difference to their experience.

At Baba Saab Events, technical details are something we take seriously because the audience should never have to struggle to follow an important moment.

What is the lighting doing?

Lighting is one of our favourite parts of event design.

But beautiful lighting should also be comfortable lighting.

Extremely bright lights, rapidly changing effects or poorly positioned fixtures can become uncomfortable for some people.

So we always try to find that balance:

Does it look beautiful?

And

Does it feel comfortable?

Both questions matter.

Are the pathways clear?

When a venue is being decorated, it is tempting to use every possible space.

But we also need to think about movement.

Can guests walk comfortably?

Are entrances and exits clear?

Are there unnecessary obstacles?

Is the emergency access maintained?

These aren’t glamorous parts of event planning, but they are extremely important.

And what about the people working behind the scenes?

This is something guests almost never see.

While everyone is enjoying the event, there is a whole team working backstage.

Someone is checking the sound.

Someone is coordinating the décor.

Someone is managing hospitality.

Someone is handling the vendors.

Someone is solving the last-minute problem that nobody in the audience even knows happened.

And sometimes, in all this running around, the team forgets to eat, drink water or take a five-minute break.

We’ve learned that taking care of the team is also part of taking care of the event.

Because exhausted people cannot consistently deliver their best.

Sometimes, less is actually better

Not every corner needs décor.

Not every minute needs music.

Not every empty space needs to be filled.

Guests sometimes need a quiet corner, a comfortable chair or simply a little breathing space.

Especially during long events, those small pauses can make the experience much more enjoyable.

Finally, I look at the guests

This is probably my biggest habit as an event manager.

After checking the stage, décor, sound and hospitality, I look at the people.

Are they comfortable?

Are they enjoying themselves?

Are elderly guests being taken care of?

Does anyone look confused about where to go?

Does anyone need help?

Because at the end of the day, an event is not created for the photographs. It is created for the people.

And that’s something we’ve understood deeply at Baba Saab Events.

People may not remember exactly where the water counter was.

They may not remember how perfectly the chairs were arranged.

They may not even notice half the things our team worked on.

But they will remember how the event made them feel.

Comfortable. Welcomed. Cared for.

And for us, that’s what a well-planned event is really about.

Not just creating beautiful moments.

Creating experiences that people genuinely enjoy being a part of.
