Why Timing Is the Most Underrated Part of Event Planning

When people talk about an event, they usually talk about what they can see.

The decoration. The stage. The lights. The food. The entertainment.

But there is one thing that guests don't really see, even though it can affect the entire evening — timing.

At Baba Saab Events, we have seen this many times. A small delay in one part of an event can easily affect everything that comes after it.

An event may look perfect on paper, but once the guests arrive, things don't always happen exactly the way they were planned.

That's where timing really matters.

The Work Starts Before the Guests Arrive

For us at Baba Saab Events, the event starts much before the first guest walks into the venue.

The décor team is finishing the setup. The technical team is checking sound and lights. Artists are getting ready. The hospitality team is checking guest movement. Catering is preparing the food.

At the same time, there are calls happening, vendors being coordinated, and last-minute things being checked.

Nobody sitting in the audience sees most of this.

But it all has to happen at the right time.

That's why event planning isn't only about deciding what needs to happen.

It's also about deciding when it needs to happen.

A Good Event Should Feel Easy

Think about an event where everything felt smooth.

You arrived and someone was there to welcome you.

You knew where to go.

The programme started without making you wait for too long.

Food was available when you expected it.

The next activity started without a lot of confusion.

You probably didn't think about the schedule at all.

And that's exactly how it should be.

At Baba Saab Events, one of the things we focus on is making sure the guest doesn't feel the pressure and coordination happening behind the scenes.

They should simply enjoy the event.

One Delay Can Change the Whole Evening

This is probably one of the most common things that can happen during an event.

Let's say guests are expected at 7 PM, but a large number of them arrive at 7:20.

The opening gets delayed.

Then the performance gets delayed.

Then dinner gets delayed.

Suddenly, a 20-minute delay has affected the entire evening.

The same thing can happen when an artist is stuck in traffic, a presentation takes longer than expected, or a technical issue needs to be fixed.

That's why the team at Baba Saab Events always tries to leave some breathing space between important parts of the programme.

Because in real events, everything doesn't always go according to the clock.

You Have to Watch the Room

A schedule is important, but you can't follow it blindly.

You also have to look at the people in front of you.

If guests have travelled for several hours, they may need some time to settle before a long presentation.

If people have already been sitting for a long time, it's probably time to change the pace.

If the dance floor is full and everyone is enjoying themselves, suddenly stopping the energy for a long announcement may not be the right move.

This is where experience matters.

Sometimes the plan needs to change by a few minutes.

And that's okay.

Entertainment Is Also About Timing

Choosing a good artist is only one part of entertainment planning.

When the artist comes on stage can be just as important.

A high-energy DJ set may not work when half the guests are still having dinner.

A slow musical performance may feel out of place when everyone is ready to celebrate.

The artist hasn't changed.

The audience hasn't necessarily changed.

The timing has.

That's why at Baba Saab Events, entertainment planning isn't only about selecting the right artist. We also look at the overall flow of the evening and decide where that performance fits naturally.

Food Has Its Own Timing

Food is another thing where timing matters more than people realise.

Open the buffet too early and it can become difficult to maintain the food properly.

Open it too late and hungry guests start getting restless.

At weddings, dinner may also have to work around ceremonies, photography, performances and guest movement.

There are usually several things happening at the same time.

Good coordination keeps them from getting in each other's way.

Sometimes even a 20-minute adjustment can make a noticeable difference.

The Best Timing Is Often the Timing Nobody Notices

This is probably the most interesting part of event planning.

When everything goes right, guests don't know how much work went into making it happen.

They don't know that the sound check was completed before they arrived.

They don't know that the next artist was already waiting backstage.

They don't know that the schedule was changed because something earlier took longer than expected.

They simply enjoy the evening.

And honestly, that's the goal.

At Baba Saab Events, we don't want guests to see the chaos behind the scenes.

We want them to remember the experience.

You Always Need a Backup Plan

No matter how carefully you plan an event, something can still go wrong.

An artist can get delayed.

A speaker can arrive late.

Traffic can affect guest movement.

The weather can suddenly change.

A microphone can stop working.

These things happen.

That's why a good schedule needs some flexibility.

If every minute is packed with no room for adjustment, even a small problem can create a much bigger one.

A little breathing space can save a lot of stress later.

Timing Brings Everything Together

Decoration creates the look.

Music creates the mood.

Food takes care of the guests.

Entertainment brings energy.

Hospitality makes people feel welcome.

But timing connects everything.

It decides when each part comes into the picture and how one moment moves into the next.

That's why we believe timing deserves much more attention than it usually gets.

At Baba Saab Events, our job isn't just to make an event look good.

It's to make sure the entire experience works — from the moment the first guest arrives until the last guest leaves.

Because guests may not remember exactly when the programme started or whether dinner opened five minutes earlier or later.

But they will remember how the evening felt.

And sometimes, good timing is the reason an event feels effortless.

That's the part nobody sees.

And that's often the part that makes the biggest difference.
